The Challenge
Legacy system limits usability, search, and governance across Government agencies
The previous IM Portal was in urgent need of modernization as content authors and users across government agencies faced several pain points.
- Restrictive user experience: A poor UI/UX made it difficult for content administrators to manage the site and for users to navigate it.
- Weak search capabilities: Users struggled to find critical policies and documents quickly.
- Lack of version traceability: Authors and users had no way to track or review previous document versions.
With numerous Government agencies relying on the platform, these issues slowed down access to information and reduced operational efficiency. MOF needed a single, reliable platform with stronger governance, faster access, and better usability.
The Solution
Cloud-first Magnolia DXP consolidates portals and improves access at scale
Working with NCS, a Magnolia Platinum Partner, MOF migrated to Magnolia DXP as the foundation for the new IM Portal 2.0.
Architecture & Consolidation
- Two portals were consolidated into a single centralized platform serving all agencies, with more than 2,700 documents migrated over two Releases.
- The platform has been designed with a consistent structure and navigation, covering public sector-wide policies, rules and resources.
- Headless CMS architecture decouples front-end from back-end, giving teams full flexibility to design and deliver modern, user-centric interfaces without the constraints of traditional CMS templates.
- Built using Magnolia’s component-based architecture and Mini Apps for flexible customization.
Cloud & AI Integration
- Deployed on Magnolia DX Cloud for scalability and reliability.
- Integrated with AWS OpenSearch for fast and accurate search, and Amazon Bedrock to support AI-powered search and content discovery.
Governance & Editorial Control
- Full version tracking enabling users to view and audit document history.
- Structured content and permissions improve control across agencies.
- Improved authoring experience with a cleaner UI and more intuitive navigation.
Delivery Speed
- With NCS's support, the project was delivered ahead of schedule using agile approach — Go-live was achieved four months earlier, with releases completed in 8, 9, and 11 months versus the planned 12 to 15 months.
- Rollout was also streamlined from 4 phases to 3 releases, reducing complexity and accelerating delivery.
